Teams and roles
Invite teammates, assign roles, understand permissions, and transfer ownership.
A workspace is a shared space. This page covers who can join it and what each person can do.
Inviting people
Workspace → Members → invite by email, choosing a role. The invitee receives a link; accepting adds them to the workspace with that role. They keep their own personal account and can belong to other workspaces independently.
Pending invitations are listed until accepted, and can be revoked or resent. An invitation is tied to the email address it was sent to.
Roles
Roles are ordered by hierarchy level, which governs both permissions and who can act on whom.
Owner — full control:
| Permission | What it allows |
|---|---|
roles.manage | Change other members' roles |
members.manage | Remove members |
invites.manage | Invite people and manage invitations |
billing.manage | Subscription, plan changes, invoices |
settings.manage | Workspace name, slug and settings |
Member — the working role:
| Permission | What it allows |
|---|---|
settings.manage | Workspace settings |
invites.manage | Invite people |
Members can use every product surface — Monitoring, Task Center, Workspace configuration — but cannot change roles, remove people or touch billing.
Permissions are checked server-side on every privileged action, not merely hidden in the interface.
Hierarchy
A member cannot modify anyone at or above their own level. In practice: only an owner can change an owner, and nobody can escalate their own role. This is enforced in the database, so it holds regardless of which part of the product an action comes from.
Managing members
From Members you can change a role, remove a member, or transfer ownership — each subject to your own permissions.
Removing a member revokes their access immediately. Their work stays: prompts they added, pages they tracked, conversations they saved belong to the workspace, not to them.
Transferring ownership hands the owner role to another member. Do this before leaving a workspace you own, and note that it is a deliberate, confirmed action rather than a casual role change.
Multiple workspaces
Belonging to several workspaces is normal for agencies and consultants. Each has its own members, data, subscription and roles — you can be an owner in one and a member in another. The account selector in the sidebar switches between them.
Practical setup
- Small team — one or two owners, everyone else a member. Two owners avoids the case where the only owner is on holiday when billing needs attention.
- Agency — one workspace per client. Owners are agency leads; the client's stakeholders join as members of their own workspace and see only their data.
- Contractors — invite as members. They get full working access without billing or member management.
